The same work, in fewer steps.
Asking a new client for their details and documents
A guided link, carrying your firm's name, that they answer from their phone
Confirming it all arrived, complete and current
It is checked before it reaches you: fields, percentages, passport and proof of address
Moving that data into the firm's templates
Minutes, certificates and powers of attorney come out with the data already in place
Knowing where each file stands and who has it
The whole book in one table, with owner, status and audit trail
Keeping track of each company's deadlines
Calculated from the registration date, with an internal date ahead of the legal one
The law puts the risk on the firm's side.
It is the resident agent, not the client, who answers to the tax authority and the Superintendency for a missed deadline. These are the penalties set by current Panamanian law.

You generate the link
One link per client, with the lawyer in charge and an internal note. Copy it or send it by email.
- 02
The client fills it in, guided
Their details, the company names, the people, the source of funds and the documents. It saves at each step and they can carry on later.
- 03
Alodocs checks it before it reaches you
Complete fields, ownership that does not go over 100%, beneficial owner identified, valid passport and recent proof of address.
- 04
Your team reviews and asks for corrections
The file arrives with the summary and the alerts on top. If something is missing, the client fixes it through the same link, without starting over.
- 05
It stays alive, year after year
From the registration date, that company's deadlines are calculated, the annual update is requested, and you are warned before each one.

These are the real rules: Executive Decree 13 of 2022 sets the 25% threshold or control, and Law 129 of 2020 the 15 business days.
This is not a screenshot: these are the Alodocs rules running on this page. Move the date or the percentage and see what reaches the firm.
Deadlines are not worked out by hand. Not any more.
With the registration date, the system knows what each company owes and when. Every obligation carries its legal basis and an earlier internal date, so the firm moves with room to spare. Business days skip Panamanian public holidays, Carnival and Good Friday included.
Beneficial owner filed with the RUBF
Business days, counted from the company's registration.
Law 129 of 2020, art. 11Income tax return
For the company, when it is required to file.

Onboarding links
One per client, carrying the firm's name, in Spanish or English. Revoked without deleting the file.
Access by person
Partners, lawyers, compliance officer and assistants. Each role sees and does what it should. Unlimited users.
Automatic checks
What the client sends already arrives complete: documents, dates and percentages reviewed before they reach you.
Beneficial owner
Worked out from the 25% threshold or declared control, and ready to be filed.
A living corporate file
Board of directors, share register with its transfers, powers of attorney in force and corporate changes.
The client record
A client with five companies stops being five loose files: everything of theirs, together.
Calendar per company
Deadlines calculated from the registration date, with an internal date ahead of the legal one, and reminders.
The firm's documents
Minutes, certificates and powers of attorney assembled from the file's data, using your own templates.
Import and export
Upload the book you already have and take everything out in CSV whenever you want. Your data is not held hostage.
You are not buying a program. You are buying one built the way your firm works.
No two firms do due diligence the same way. So none of this is closed: what your compliance officer asks for gets added, what is in the way gets removed, and what you already have gets imported. It is not a standard you have to put up with.
What changes
- ✓The client form: what is asked, in what order, what is required and which document is demanded
- ✓Your templates, in your wording and your format: minutes, certificates and powers come out the way your firm issues them today
- ✓Your rules: the beneficial ownership threshold, the alerts, how many days before the legal date you want the internal one
- ✓The roles and who sees what, named after the positions in your firm
- ✓The screens: filters, columns and how the book is viewed — by file, by company or by client
- ✓Whatever is missing. If you need it and it makes sense, it gets built
How we work
- ✓The book you already have gets imported: nobody retypes what is in your spreadsheet or your system
- ✓It lives alongside what you already use. It connects to your CRM or your compliance system, or you export to CSV whenever you want
- ✓I set it up with your team myself: I do not hand you a manual and a login
- ✓You ask for a change and I tell you straight when it will be ready. Small things in days; big ones planned with you
- ✓You talk to the person who builds it, not to a support centre
- ✓If you decide to leave, your data and your documents leave with you

Put in your firm's numbers. The saving is measured in your people's hours — collecting, confirming and retyping — valued at Panamanian salaries with their social charges.

We count US$92 of your people's hours for every new client and US$12 a year for every file kept current, at Panamanian salaries with 35% social charges. These are assumptions to talk from: during setup we measure them in your office and adjust the plan. You only move up a plan if your book grows past 1,500 files.
You pay for the book, never per user.
If every person in the office cost money, they would give access to one and the tool would never reach the firm. So users are unlimited on every plan, and what is charged is the size of the book the system keeps current. Prices in dollars, before tax.

Your clients' information, treated as such.
We summarise it here, and the security page has the full detail, including what we do not have yet.
How it is kept
- Each firm walled off: no other firm sees your files, and the database enforces it
- Documents in private storage, with download links that expire in minutes
- An audit trail of who viewed and changed each file, which is never edited or deleted
- Daily backup of the database, restorable to seven days
- The client has no account: they come in through their link and the server validates the token
What Panamanian law requires
- The firm is the data controller; Alodocs is the database custodian (Law 81 of 2019, arts. 4 and 14)
- Custodian agreement with the content set out in Executive Decree 285 of 2021, arts. 47 and 48
- Providers authorised in writing by the firm (art. 49)
- Notice of any breach within 72 hours (art. 37)
- Explicit client consent for their sensitive data (Law 81, art. 13)
What firms ask.
Does Alodocs screen sanctions lists?
No, and that is deliberate. Your firm already pays for its screening platform and your compliance officer still decides. Alodocs collects, checks and organises the information, and exports the people ready to load into the system you already use.
Who owns the information?
The firm. Alodocs acts as custodian of the database and processes the data only on your instructions. You can export everything whenever you want, and at the end of the contract it is handed over or deleted.
Does the client have to create an account?
No. They open their link, answer and send. If you ask for corrections, they come back to the same link and fix them.
We have thousands of companies. Do we have to key them in by hand?
No. They are imported from a file: the system first shows you what would be created and what is wrong, row by row, and only then applies it. On the Large firm plan, migration is included.
Does it adapt to my firm's forms?
Yes. During setup we configure the fields, the documents requested and the checks, following your prevention manual and whatever your compliance officer requires.
Try it with a real client this week.
You create the account with your email and a password, and you are straight in. You generate a link, send it to a client, and in under an hour you know whether it works for you.
